At Aether Quinthos Architecture, we've been designing sustainable spaces since day one, and that philosophy extends to how we handle your personal info. We only collect what we genuinely need, we don't sell your data to random third parties, and we're pretty serious about keeping it secure.

Stuff You Give Us Directly
When you fill out a contact form, request a consultation, or send us an email, you're probably giving us things like your name, email address, phone number, and maybe your project address. Sometimes clients share property details, budget ranges, or specific design preferences - basically whatever helps us understand what you're looking for.
If we end up working together, we'll need additional info for contracts and billing - addresses, payment details, that sort of thing. For larger commercial projects, we might also need business registration numbers or corporate contact info.
Technical Data We Collect Automatically
Like pretty much every website out there, ours collects some technical data when you visit. We're talking IP addresses, browser types, device info, pages you looked at, how long you stuck around - that kind of thing. It's not personal in a creepy way; it just helps us understand how people use the site and where we can improve things.

Project-Related Information
Once we're working on your project, we'll naturally accumulate quite a bit of project-specific data. Site photos, architectural drawings, meeting notes, email threads about material choices - all the usual stuff that goes into designing a building. We keep this organized and secure throughout the project lifecycle and for several years after, both for your benefit and ours.
How We Actually Use Your Info

Our digital files are encrypted both in transit and at rest. We use secure cloud storage with redundant backups. Access to client data is limited to team members who actually need it for your project. Passwords are strong, multi-factor authentication is enabled, and we regularly update our security protocols.
Physical documents? We keep those in locked filing cabinets in our office, which has its own security system. Old documents are shredded, not just tossed in the recycling.
That said, no system is 100% bulletproof. If we ever experience a data breach that affects your information, we'll let you know promptly and explain what happened, what we're doing about it, and what you should do to protect yourself.
Your Rights Over Your Data
It's your information, so you've got rights. Under Canadian privacy laws (we're based in Toronto, remember), here's what you can do:
- Access: Ask us what information we have about you. We'll give you a copy within a reasonable timeframe.
- Correction: If something's wrong or outdated, let us know and we'll fix it.
- Deletion: Request that we delete your data, though we might need to keep some stuff for legal or contractual reasons.

How Long We Keep Your Data
We don't hold onto stuff forever - that'd be weird and wasteful. Here's our general approach:
Active project data: We keep this throughout the project and for seven years after completion. Why seven? That's the standard retention period for architectural records in Canada - it covers warranty periods and potential liability issues.
Inquiry information: If you reach out but we don't end up working together, we'll keep your contact info for about two years in case you circle back. After that, it's deleted unless you've asked to stay on our mailing list.
Financial records: Tax law requires us to keep these for six years. After that, they're securely destroyed.
Marketing data: As long as you're subscribed. Unsubscribe anytime and you're off the list within a few days.
International Data Transfers
We're based in Toronto, and most of our data stays in Canada. However, some of our cloud service providers have servers in the US or other countries. When we use these services, we make sure they have adequate privacy protections in place - usually through standard contractual clauses or certification programs.
If you're uncomfortable with your data potentially being stored outside Canada, let us know and we can discuss alternatives for your project.
Changes to This Policy
We might update this privacy policy from time to time - maybe because laws change, maybe because we add new services, maybe because we realized we could explain something better. When we make significant changes, we'll post a notice on our website and send an email to active clients.
The "Last Updated" date at the top tells you when we last revised this policy. Feel free to check back occasionally, though we promise not to change the fundamental principles of how we treat your data.
