Privacy Policy

How we handle your information - straight talk, no legal jargon overload

Let's Talk Privacy

Look, we get it - privacy policies are usually about as exciting as watching paint dry. But here's the thing: we actually care about your data, and we think you deserve to know what happens with it without needing a law degree to understand.

At Aether Quinthos Architecture, we've been designing sustainable spaces since day one, and that philosophy extends to how we handle your personal info. We only collect what we genuinely need, we don't sell your data to random third parties, and we're pretty serious about keeping it secure.

This policy applies to anyone who visits our website, reaches out for a consultation, or works with us on a project. Whether you're browsing our portfolio or signing a contract for your dream home, these same principles apply.

What Information We Actually Collect

Stuff You Give Us Directly

When you fill out a contact form, request a consultation, or send us an email, you're probably giving us things like your name, email address, phone number, and maybe your project address. Sometimes clients share property details, budget ranges, or specific design preferences - basically whatever helps us understand what you're looking for.

If we end up working together, we'll need additional info for contracts and billing - addresses, payment details, that sort of thing. For larger commercial projects, we might also need business registration numbers or corporate contact info.

Technical Data We Collect Automatically

Like pretty much every website out there, ours collects some technical data when you visit. We're talking IP addresses, browser types, device info, pages you looked at, how long you stuck around - that kind of thing. It's not personal in a creepy way; it just helps us understand how people use the site and where we can improve things.

We use cookies for this - more on those later - but the short version is they help us remember your preferences and give you a better experience next time you visit.

Project-Related Information

Once we're working on your project, we'll naturally accumulate quite a bit of project-specific data. Site photos, architectural drawings, meeting notes, email threads about material choices - all the usual stuff that goes into designing a building. We keep this organized and secure throughout the project lifecycle and for several years after, both for your benefit and ours.

How We Actually Use Your Info

We're not gonna beat around the bush here - we use your information to do our jobs and serve you better. Here's the breakdown:

  • Communication: Responding to your inquiries, scheduling consultations, sending project updates, sharing design revisions - basically keeping the conversation going.
  • Service Delivery: Creating architectural designs, preparing documentation, coordinating with contractors, managing your project from concept through completion.
  • Legal & Contractual Stuff: Processing payments, maintaining records for regulatory compliance, protecting both our rights and yours if anything ever goes sideways (hopefully it won't).
  • Website Improvement: Analyzing how people use our site so we can make it more useful and less frustrating.
  • Marketing (with permission): Occasionally sending updates about our services, sustainability insights, or design trends we think you'd find interesting. You can opt out anytime - no hard feelings.

We won't use your info for anything weird or unexpected. If we ever want to use it for something substantially different from what's listed here, we'll ask you first.

Questions About Your Data?

We're here to answer them. Privacy shouldn't be mysterious.

Who We Share Your Data With (And Why)

We're not in the business of selling your data - full stop. But architecture isn't a solo sport, so there are some situations where we need to share information:

Project Collaborators

Engineers, contractors, consultants who need project details to do their part. They're bound by similar confidentiality agreements.

Service Providers

Cloud storage, email services, accounting software - the tools that keep our practice running smoothly. We vet these carefully.

Regulatory Bodies

Building departments, planning authorities - whoever needs to review and approve your project. That's just how permits work.

Legal Requirements

If we're legally required to (court orders, government requests, etc.), we'll comply. But we'll fight it if it seems unreasonable.

We'll ask for your permission before featuring your project in our portfolio or marketing materials. Some clients love the publicity, others prefer privacy - we respect both.

Keeping Your Data Safe

We take security seriously - probably more seriously than we need to for an architecture firm, but hey, better safe than sorry. Here's what we do:

Our digital files are encrypted both in transit and at rest. We use secure cloud storage with redundant backups. Access to client data is limited to team members who actually need it for your project. Passwords are strong, multi-factor authentication is enabled, and we regularly update our security protocols.

Physical documents? We keep those in locked filing cabinets in our office, which has its own security system. Old documents are shredded, not just tossed in the recycling.

That said, no system is 100% bulletproof. If we ever experience a data breach that affects your information, we'll let you know promptly and explain what happened, what we're doing about it, and what you should do to protect yourself.

Your Rights Over Your Data

It's your information, so you've got rights. Under Canadian privacy laws (we're based in Toronto, remember), here's what you can do:

  • Access: Ask us what information we have about you. We'll give you a copy within a reasonable timeframe.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Request that we delete your data, though we might need to keep some stuff for legal or contractual reasons.
  • Portability: Get your data in a format you can take elsewhere if you want.
  • Opt-Out: Unsubscribe from marketing emails or withdraw consent for certain data uses.
  • Complaint: If you think we've mishandled your data, you can file a complaint with the Privacy Commissioner of Canada.

To exercise any of these rights, just shoot us an email at info@aetherquinthos.info or give us a call at (416) 555-0847. We'll respond within 30 days, usually sooner.

Cookies & Tracking Tech

Yeah, we use cookies. Not the chocolate chip kind (unfortunately), but the digital ones that help websites function properly.

Essential Cookies

These keep the site working - remembering your language preference, maintaining your session, that kind of thing. Can't really turn these off without breaking stuff.

Analytics Cookies

Help us understand which pages people actually look at and how they navigate around. We use this to make the site better. You can disable these if you want.

Preference Cookies

Remember your choices so you don't have to re-enter information every single time you visit. Pretty convenient, but totally optional.

Most browsers let you control cookies through their settings. You can block them entirely, though some parts of our site might not work as smoothly. Your call.

How Long We Keep Your Data

We don't hold onto stuff forever - that'd be weird and wasteful. Here's our general approach:

Active project data: We keep this throughout the project and for seven years after completion. Why seven? That's the standard retention period for architectural records in Canada - it covers warranty periods and potential liability issues.

Inquiry information: If you reach out but we don't end up working together, we'll keep your contact info for about two years in case you circle back. After that, it's deleted unless you've asked to stay on our mailing list.

Financial records: Tax law requires us to keep these for six years. After that, they're securely destroyed.

Marketing data: As long as you're subscribed. Unsubscribe anytime and you're off the list within a few days.

International Data Transfers

We're based in Toronto, and most of our data stays in Canada. However, some of our cloud service providers have servers in the US or other countries. When we use these services, we make sure they have adequate privacy protections in place - usually through standard contractual clauses or certification programs.

If you're uncomfortable with your data potentially being stored outside Canada, let us know and we can discuss alternatives for your project.

Changes to This Policy

We might update this privacy policy from time to time - maybe because laws change, maybe because we add new services, maybe because we realized we could explain something better. When we make significant changes, we'll post a notice on our website and send an email to active clients.

The "Last Updated" date at the top tells you when we last revised this policy. Feel free to check back occasionally, though we promise not to change the fundamental principles of how we treat your data.

Questions? Concerns? Just Want to Chat?

If anything in this policy is unclear, if you have concerns about how we're handling your data, or if you just want to exercise one of your rights, we're here to help. Seriously - we'd rather answer your questions than have you worry about this stuff.
